The link in the invitation email will expire after 14 days, if yours expires you can resend yourself a new invitation. You can only send the invitation to your UW email address. If you no longer have access to your UW email address, you will need to contact diploma@uw.edu.

CeDiploma FAQs

Currently CeDiplomas are only available for UW graduates beginning in June 2016.

Yes, digitally signed CeDiplomas can be downloaded and be sent via email. CeDiplomas will retain the Digital Signature and CeDiD for validation purposes.

There are two ways to validate an electronic diploma. (This also is noted on the second page of the diploma.)

  1. Validate through the University website, UW CeDiploma Validation Portal or by clicking the link on the second page of the CeDiploma and typing the necessary information where indicated.
  2. Users of Adobe Reader or Acrobat 9.0 or higher will be able to view the Digital Signature which is shown at the top of the PDF, and is part of the overall security of the document. If the Digital Signature shows a Blue Ribbon it means that document has not been tampered with; any other symbol signifies the document cannot be trusted.

CeCredential Trust is the branded name of the digital signature that the University of Washington’s vendor uses to digitally sign all CeDiplomas.

This issue is due to the version of the operating system on the tablet or mobile device, or the PDF viewer that the browser is using to open the CeDiploma. In the case of the iPhone/iPad, updating to the most recent iOS operating system usually solves the problem.

The CeDiploma is best viewed in Adobe Acrobat or Acrobat Reader. Some features may not be available when viewed in a web browser’s default viewer. Please change the default viewer in the web browser so that it utilizes Adobe Reader or Acrobat.

Requests from current or former students with unmet obligations to the University (e.g., holds) cannot be honored. To resolve financial holds, first contact Student Fiscal Services.

You can waive 1 credit for any student in one or two areas, but the total required in all three remains 75.

DARS occasionally fails to apply a course to the correct area. This most often happens when the student has a number of courses that are eligible for use in more than one area. You can fix it by forcing a course out of an area if it’s needed elsewhere.
NOTE: If the student has not yet completed all 75 credits, wait–and tell the student to be patient. The courses will most likely be applied correctly in the end.

Grade Submission Delegates

Grades can be submitted to the Student Database (SDB) via the GradePage online grading system by someone other than a course’s instructor(s) of record: a grade submission delegate.

It is the responsibility of the instructor(s) of record to submit grades in an accurate and timely manner. However, the University recognizes that there are times and circumstances where the instructor(s) of record cannot do this, and so the GradePage online grade submission delegate system was created. Additional resources and information about online grading can be found on the grading resources page.

Delegate System

The GradePage online submission delegate system was designed to help with exceptional circumstances and is not meant to transfer the responsibility of submitting accurate grades in a timely manner. Grade submission is still the responsibility of the instructor(s) of record for each section. The submission delegate system is a tool to help reduce difficulties students face stemming from the late submission of grades due to exceptional circumstances.

The role of grading delegate provides an alternative in case the official Instructor of Record (IoR) is unable to submit grades for any reason, such as a personal emergency. This functionality is intended to be used infrequently and in cases of emergency.

Grading delegates can be assigned at the section, curriculum, department or college/school level. The role’s authority is strictly limited to submit grades online during the open grading period using GradePage.

The role of grading delegate was not designed to support other departmental needs or workflows, such as departmental record-keeping or oversight of grading. Grading delegates are not automatically granted access to instructors’ existing grading resources.

To Submit Grades as a Delegate

Submitting grades as a delegate is a manual process that closely resembles the process of submitting as an instructor.

Delegate Hierarchy

There are four levels of grade submission delegates, and only one delegate may be designated per level. The levels are:

  • Section
  • Curriculum
  • Department
  • College/School

The Office of the University Registrar assumes that delegates communicate with the instructor(s) of record and submit grades in accordance with their wishes.

Span of Control

Delegates may submit grades for any section at their level or below it; this is known as their span of control. For example:

  • Department-level delegate may submit grades for any section within that department
  • Curriculum-level delegate may submit grades for any section that begins with that curriculum prefix
  • Section-level delegate is restricted to submitting grades for that section

Choosing a Delegate

At the section level, either the instructor(s) of record or the departmental Time Schedule Coordinator can designate a delegate. The instructor(s) of record may do this via the MyClass Resources channel in MyUW; Time Schedule Coordinators may designate a delegate via the Time Schedule Update maintenance tool.

  • Curriculum- and department-level delegates can be modified via an email to the Office of the University Registrar from a departmental chair or administrator.
  • College-level delegates can be changed via an email from a dean or college-level administrator.

Teaching Assistants

Teaching Assistants (TAs) do not need to be made a delegate if the TA is already an instructor of record for the section. However, for large lectures where the TA is the instructor of record for a secondary section (e.g., quiz or lab), secondary grading must be enabled for the TA to be able to submit grades via GradePage.

EARS allows authorized UW users to access official student record information in a web-based interface. Use of this system is restricted to advisers and campus administrative staff.

FERPA Acknowledgment

EARS provides access to student academic information, so it is, therefore, subject to the Family Educational Rights and Privacy Act. FERPA protects the privacy of student education records. EARS information is available only to university staff when required for the performance of their responsibilities to the university.

Under FERPA, users of EARS agree that they:

  • Have a legitimate need to access student information in performance of their university duties.
  • Will not share or otherwise permit any access to a student’s information with others without written consent from the student.

Apostille

An apostille (pronounced “uh-pos-till”) is a stamp or seal verifying the authenticity of an official document. Most official documents are recognized only in the country in which they were originally issued. The U.S. is a signatory to a 1961 treaty that provides mutual recognition of documents bearing an apostille. In the U.S., apostilles are issued by the Secretary of State for the state in which the document was issued.

Obtaining an Apostille

To obtain an apostille for a UW diploma, the graduate must submit a copy of the original diploma that has been signed and stamped, as a true copy, by an official from the University of Washington to the WA Secretary of State.

  1. Graduates who have their original diploma can deliver a copy of the original to Registrar Student Services – Schmitz 260 – during office hours.
  2. If the diploma copy is verified as a true copy, it will be signed and stamped by a Registrar official.
  3. The Registrar will return the certified copy to the graduate.
  4. The graduate then requests the apostille from the WA Secretary of State.

Replacement Diploma

To request a newly-printed original diploma, please submit a Diploma Replacement Request. There is a $20 fee for replacement diplomas.
